How do I get a Visa? And what is the deadline?

Invitation letters for visa need to be processed by 30 October 2017. Documents to submit to the organizers are:

  1. Passport scan copy
  2. Temporary flight ticket / Itinerary
  3. A copy of the hotel reservation  
  4. A copy of Schengen Health travel insurance
  5. An official document from employer confirming your academic position and employment

Is there funding available to help with travel/registration costs?

As an NGO, we do not have the funds to support your travel cost. However , we  may contribute to some specific cost such as

  • meal vouchers
  • assistance to visa invitation
  • coordination to bilateral meetings with other members
  • other information related to the topic Ethics in Higher Education


About accomodation

How can I book a hotel room, and what are the rates?

As demand for hotel rooms in Geneva is high, please secure a room as soon as possible. A limited number of rooms at a preferential rate can be reserved for you at the hotels listed this document [PDF - 374 KB size] 

I don't have a credit card to guarantee my hotel booking?

You can do a transfer of the said amount of your hotel to UBS account and on receipt of the payment; shall be the guarantor for your hotel booking.

Please Note: There will be no refund in case of NO SHOW.

  • Tax-free shopping at the SAFI store in the UN Office in Geneva campus Palais des Nations (for delegates and international organization staff): Monday to Friday from 1200 to 1830 hours.
  • Normal shopping hours in Geneva:
    • Monday to Friday from 0830 to 1830 hours (many stores remain open until 2100 hours on Thursdays)
    • Saturday from 0830 to 1800 hours
    • Sunday, closed (except for petrol stations, newsagents and the airport shopping complex).

  1. Please take note that the meeting organisers have adopted the following policy in respect for per diems and honorarium. The organisers will not provide per diem or an honorarium for invited guests.
  2. Transportation costs will be covered only within Geneva. Free transportation passes are also available at the hotel or can be provided by the organisers. 
  3. Lodging is on bed&breakfast basis. Kindly note that the organisers will not cover the costs of alcoholic beverages. 
  4. Photography: There will be photographic coverage of the event. If you would not like to have your picture taken or used, please send a note to the organisers. 
  5. Accomodation: If you want to make changes to your reservation such as booking a double  room or extending your stay this should be covered at your own cost and the organisers need to be informed. 
  6. Reimbursements: Any form of reimbursement is processed only through bank transactions. Cash handling is against our policy.
